These terms are a legally binding agreement between you, whether personally or on behalf of an entity ("you", "the client"), and Yaman ("the Company", "we", "us"), about the immigration services you contract through our client dashboard (the "Services").
The Company's immigration specialists and case managers prepare and manage your application. Where the Company engages specialist partners for parts of the work, such as sworn translators or couriers, they act on the Company's behalf and under these same terms, and your contract remains with the Company alone.
By creating an account, accepting these terms at signup or making a payment, you confirm that you have read, understood and agree to be bound by them. If you do not agree, do not use the Services. The Services are for people aged 18 or over. We may update these terms from time to time; the "Last updated" date above changes when we do. We recommend keeping a copy for your records. Questions: [email protected].
The Company offers advisory and management services for immigration processes related to residency in Spain. The visas and permits you can contract are the ones shown on the signup page
Each service covers one application for the applicants named at signup (the main applicant and the dependants or family members you listed). Adding applicants later is priced separately.
An eligibility check, the study of your case and a personalised checklist of the documents you need, with ongoing guidance from your case manager.
Verification of, and guidance on, the documents required for your process.
Translation into Spanish of the required documents, up to the allowance in section 13. Any amount above it is paid by you. Consulates may require extra documents to be sworn-translated and we must comply with their requests; you may decline those extra translations, which can delay the submission and approval of your visa.
Your application booklet and documents are delivered digitally through your dashboard. Where physical delivery is offered for your service and country, it may be sent by courier; if physical delivery is not possible for any reason, digital delivery applies with no change to your fee.
Support with specific requirements raised by the authorities and, where applicable, with administrative appeals at the Spanish immigration unit (UGE). Appeals before Spanish courts are not included.
Assistance with submitting your application in Spain, or with sending your file to the consulate in your country of residence, as applicable. One submission is included.
Where a service says so, the applicable Spanish government fees for a single submission are paid for you. If a resubmission is needed, its costs are not included.
Our assistance ends with the positive resolution of your visa or residency authorisation. Beyond that point we are not obliged to provide further services unless agreed separately.
You are solely responsible for providing all the documents needed for your application and for making sure that every piece of information, declaration and document you give us is accurate, complete and truthful. We are not liable for delays, refusals, rejections, penalties or other adverse outcomes caused by missing, incomplete, misleading or fraudulent submissions. Extra costs caused by late or incomplete documents, such as rush translations, are yours.
Urgent requests are limited to situations where a required document or a government deadline is at risk; only those are treated as urgent.
We respond to enquiries and review documents within 4 business days, with exceptions during holiday periods and peak times, which we announce in advance. General questions are answered on your dashboard; questions already covered there may not receive a separate reply.
Official channels. All documents must be submitted through your dashboard. Email is our channel for enquiries and updates, and correspondence with the Spanish authorities is sent to the email address you gave at signup; if you change it without telling us and miss information as a result, that is not our responsibility. By giving us a phone number you agree that we may send you service-related text messages (case updates, reminders, payment notifications); reply STOP at any time to opt out, which does not affect your Services. Communication outside these channels is not considered valid and we are not obliged to respond to it.
A case manager is assigned to guide your process. A specific case manager is not guaranteed: we may replace or temporarily reassign them for operational reasons such as leave, illness, workload or staff changes, without affecting the scope or quality of the Services.
Each service includes a set number of scheduled video meetings, which your case manager tells you at the first meeting. The first meeting lasts up to 45 minutes and later ones up to 30 minutes. We may postpone or cancel a meeting when necessary, with an explanation. A meeting you do not attend counts as one of your meetings; rescheduling is subject to availability.
If you do not respond to follow-ups or do not submit the required documents for one and a half months, your case is put on hold and you are notified. Reactivating a case that has been on hold for six months or more costs a reactivation fee of €100.
The process must be completed within one year of your first payment; after that, additional costs may apply or the process may have to start again. If a case has been open for more than six months since the first payment or reactivation without us being able to submit it because of missing documents or a lack of response from you, the second instalment must be paid before work continues.
You may request one change of visa type during the process, within 90 days of signing up and before the second payment is due. If the new service costs more, you pay the difference. Requests after 90 days, after the second payment, or once substantial work has been done may carry an administrative reassessment fee or additional fees at our discretion. A change that requires a significant revision of strategy, documents or eligibility may be treated as a new application and charged as such, as is any further change after the first.
Your price and its instalments are shown at signup and on your dashboard, in euros, and are paid through the dashboard by card or other methods offered there. All instalments are mandatory: if a scheduled payment is not received, except where the visa is refused, we may recover the unpaid balance, as the service has been provided. Prices may change for new clients at any time; your price is fixed at signup.
First payment - the assignment of your case manager and the study of your case: the onboarding meeting, the eligibility review, your checklist, the first document checks and ongoing guidance. It is non-refundable, including if you cancel or postpone your move before the first meeting.
Second payment - the continuation of the work: ongoing case management, sworn translations, document delivery, the applicable fees and the final preparation and formal submission of your application. It is non-refundable, as it pays for professional services already in progress.
Final payment - normally due when your visa is granted, and payable in full within three days of being notified of the approval. In complex cases, and by prior agreement, it may be required earlier, in which case it is not refundable whatever the outcome. The final payment is also due in full before submission if you choose to submit without all required documents, if you withdraw your application after submission, or if, after all the work is done, you do not attend your appointment.
For applications with more than one applicant, the full final instalment for all applicants becomes due when the main applicant's approval is notified, even if decisions on the others are still pending.
Please read this carefully before proceeding. All payments are non-refundable, including if you change your mind, if you cannot obtain the approvals or permits you need, or because of circumstances beyond our control such as changes in your personal situation, in government or consular policy, or other unforeseeable events.
If you discontinue the Services, payments already made are not refunded, including the cost of work already done such as translations, deliveries or government fees; no further instalments are required provided no additional work has been performed. Once your welcome email has been sent, the first payment is considered non-refundable: it covers the creation of your profile, the preliminary consultations and your access to the platform. Difficulty using the platform, or technical issues unrelated to it, are not grounds for a refund; support is always available to help. By making the first payment you accept this policy.
If an application must be resubmitted for a reason not attributable to us, including a refusal, expired documents, missing or incomplete documents, a missed appointment, a change in your circumstances or a lack of timely cooperation, all additional costs, fees and professional services for the resubmission are yours. If a visa application is refused, the process is considered closed; a new application means starting again and paying the first and second instalments again.
We do not reimburse third-party, incidental or out-of-pocket expenses connected with your process, whatever the outcome and whatever delays, cancellations or rescheduling the authorities or other third parties cause. This includes consular and visa-centre fees, travel and accommodation, courier charges, apostilles, notarisations, document issuance fees, printing and any other personal expenditure, all of which you incur at your own risk.
We may refuse, suspend or end the Services at our discretion if you provide false, misleading, incomplete or fraudulent information, request unlawful actions, behave abusively, threateningly, discriminatorily or inappropriately towards staff, or otherwise compromise the integrity or lawful execution of the process. In such cases fees already paid remain non-refundable.
We work with independent sworn translators for translations into Spanish. For services that include translations, the Services cover sworn translations up to €50 per adult applicant; a family's allowance is that amount multiplied by the number of adult applicants, with no additional allowance for children. Anything above the allowance is paid by you. Services whose description does not mention translations do not include any.
If you arrange sworn translations yourself, no reimbursement or deduction applies. Translation prices for languages other than English depend on word or page count and the language, and each translator sets their own rates and timelines; we seek competitive pricing but these external rates and timelines are outside our control and not negotiable.
The Company is the data controller for the personal data you provide. Its immigration partner (section 17) and any other partner that processes it on the Company's behalf do so under a data processing agreement, solely to deliver the Services. We process your data under the EU General Data Protection Regulation (GDPR), on the basis of contractual necessity and legal obligation.
We collect identity documents, financial records, criminal record certificates, health insurance details and the other documents your process requires. Documents are uploaded through your secure dashboard and are encrypted in transit and at rest; only your case manager and authorised staff can access your files. We never sell or lease your data. To complete your application we share the necessary data with the Spanish authorities (consulates, the immigration unit and immigration offices) and with service partners such as sworn translators and couriers, all bound by data processing agreements.
Your files are kept for the duration of your process and archived for 10 months after your case is closed, then permanently deleted unless Spanish tax or immigration law requires longer retention. You have the right to access, port, correct and erase your data and to withdraw consent; write to [email protected].
Your dashboard includes an AI assistant that summarises where you are in your process, which documents are still needed and what to do next, and answers your questions. To provide this, your case information (service, progress, documents and payments) is shared with an AI service operated for us under confidentiality. It is used only to assist you in your dashboard, never for advertising or to train third-party models, and is not shared with or sold to anyone else.
We work within Spanish immigration law but cannot control or speed up processes run by external bodies such as consulates, visa centres or local authorities. Delays in appointment availability, document processing or government decisions are outside our control, and the outcome of an application is decided by the authorities alone; we do not guarantee approval. Our liability is limited to the fees you paid for the Services and never extends to indirect losses or to third-party costs (section 11).
The Company delivers the Services together with Bureaucracy International Group B.V., an immigration services firm registered in the Netherlands (Lange Wijngaardstraat 31-RD, 2011RK Haarlem, VAT NL864561702B01), whose immigration specialists and case managers prepare and manage applications on the Company's behalf. Your contract, your price and your payments remain with the Company; Bureaucracy acts under these same terms.
To deliver the Services, the Company and Bureaucracy exchange your information: your contact details, the details of your application and your applicants, the documents you upload, your messages with your case manager, your progress and your payment status. Bureaucracy processes this information on the Company's behalf under a data processing agreement, solely for your immigration process, in line with section 14, and may contact you directly in the Company's name about your case. By accepting these terms you agree to this exchange.
These terms are governed by the laws of the Netherlands. Any dispute arising from them or from the Services that cannot be settled amicably is submitted to the competent court in Haarlem, the Netherlands, without prejudice to any rights you have as a consumer under the mandatory law of your country of residence. If any clause is found invalid, the rest of the terms remain in force.
